Position Description
Executive Director
Reports to: Board of Directors
Employment Status: Nonexempt, Year-Round, FTE 1.0
Benefits: PTO (4.6 hours accrued per pay period), 8 paid
federal holidays, health care reimbursement program
The executive director (ED) reports to the board of directors and serves as the co-chief executive alongside the artistic director (AD), responsible for planning, managing, and executing the operations of the organization in keeping with its mission, vision, values, and strategic plan. The ED exercises managerial acumen leading staff in achieving organizational goals, works closely with the Board of Directors (BOD). The ED maintains positive relationships with a great variety of people across a wide spectrum of opinion and personality. The ED, at the highest level, holds the health of the entire film festival: value the relationships and engage every group with the opportunity to contribute, to learn, and to celebrate by association with the festival. The ED position demands a flexible, adaptable, organized, multi-tasking nature – at ease under pressure.
LEADERSHIP
·
Lead
in the development and implementation of the organization’s vision and strategic
plan. Ensure that all programs and services support and realize the
organization’s work, mission, and values.

Inspire
a creative, energized, collaborative, and safe organization culture and
environment for staff, the Board of Directors, volunteers, members, and the
greater AIFF community.
- Evaluate internal and external
issues that affect the organization and recommend and take appropriate
action.
·
Act
in concert with the Artistic Director as a primary spokesperson and
representative for the organization.
ORGANIZATIONAL MANAGEMENT
- Ensure that all programs and services
support and realize the organization’s work, mission, and values.
- Work closely with the board of
directors to fulfill the legal and financial obligations of the nonprofit
including the following requirements: regular board and committee
meetings, record-keeping such as meeting minutes, financial reports and
budgets, and conflicts of interest. Additionally, work with the board to
identify, recruit, and train new board members and provide ongoing
training opportunities.
- In accordance with the organization’s
policies and existing employment laws, ensure oversight of all staff and
volunteers who support AIFF operations.
- Manage operational processes,
protocols, logistics, and planning; update and implement policies and
procedures.
- Oversee creation of the annual calendar and ensure deadlines are met throughout the year.
- Supervise the management of the
AIFF Film Center and other facility and equipment rentals as needed.
- Create and maintain a positive,
healthy, and safe work environment in accordance with all appropriate legislation and regulations.
DEVELOPMENT
·
Direct
all development including securing grants, sponsorships, donations,
memberships, in-kind support, and earned income to meet budgeted goals.
·
Oversee
membership drives, fundraising campaigns, annual giving, and capital campaigns,
and events.
·
Ensure
accurate record-keeping for all unearned income and in-kind gifts, donation
receipts, thank you letters and emails, and associated donor correspondence.
·
Facilitate
foundation relationships, grant record keeping, and required reports.
·
With
the development manager, coordinate the staff team, development committee, and
board in support of the organization’s financial goals.
FINANCIAL PLANNING AND MANAGEMENT
- Prepare a comprehensive budget for regular review and approval by the board of directors. Approve
expenditures within the authority designated by the board.

Direct
the organization’s financial operations, prepare a comprehensive budget for
approval by the BOD, and provide the board with accurate, comprehensive, and
regular reports on the revenues and expenditures of the organization, ensuring
compliance with fiscally responsible accounting and reporting procedures.

Safeguard
AIFF’s ability to meet annual earned income objectives by working closely with
the artistic director to implement the annual festivals, monthly programming,
and new initiatives.
- Ensure that the organization
complies with all legislation covering taxation and withholding payments
and non-profit law.
HUMAN RESOURCES AND STAFF SUPERVISION

Manage
operational and human resources processes, protocols, logistics, and planning
including the hiring, supervision, training, and evaluation of year-round and
seasonal staff, as well as contract service providers, in coordination with the
artistic director.
·
Develop
and guide staff: match personnel and skills to functional needs, help
individuals succeed and prosper, align all efforts to common goals, and create
a culture of stability and optimism.
- Supervise specific
responsibilities of mid-level staff.
- Coordinate
with AIFF staff to ensure accurate record-keeping, up-to-date policies and procedures, effective marketing, clear communications, successful fund development, and sound management of resources.
- Review, update and oversee human resources and payroll policies in coordination with the board and on the advice of experts.
PUBLIC RELATIONS
·
Oversee
promotion of the organization’s events through a comprehensive marketing and
media plan, ensuring regular communication and collaborative relationships with
community leaders, organizations, and key stakeholders.
·
Engage,
in ways both professional and social, with the broader AIFF community –
volunteers, donors, sponsors, and members. Maintain positive relationships with
a great variety of people across a wide spectrum of opinions and personalities.
- Steward collaborative relationships with community leaders, organizations, and stakeholders in support of the strategic plan.
- Oversee
production and maintenance of the organization’s printed and online publications
and promotions.
OTHER DUTIES AND RESPONSIBILITIES
·
Engage
with the greater film festival industry to stay current on trends and issues;
cultivate relationships with individuals, representatives, and groups in the
industry; attend regional and national conferences and film festivals.

Work
to continue to develop and engage diverse audiences, expand income sources, and
build national recognition for AIFF in coordination with the Artistic Director.
